Bike Case Rental Terms & Conditions

By reserving, paying for, picking up, or using a bike travel case rented through Aeriv, the renter agrees to the following terms and conditions.

1. Rental Period

The rental period begins on the pickup date selected at the time of booking and ends on the scheduled return date.

The bike case must be returned to Arvada Triathlon Company no later than the agreed return date unless an extension has been approved in advance.

Rental extensions are subject to availability and additional rental charges.

Late returns may result in additional charges and may affect another customer's reservation.

2. Pickup & Return

Bike cases are picked up and returned at Arvada Triathlon Company during normal business hours unless otherwise arranged.

The renter is responsible for verifying that the case is in acceptable condition at pickup.

Upon return, Aeriv may inspect the case for damage, missing components, excessive wear, or other issues beyond normal use.

3. Case Condition

Rental cases may show normal signs of previous travel and use, including cosmetic scratches, scuffs, stickers, or minor wear.

These cosmetic conditions do not necessarily affect the function or protection provided by the case.

Customers should notify Aeriv of any significant damage or missing components before leaving with the rental.

4. Customer Responsibility

The renter is responsible for the bike case from the time it is picked up until it is returned and checked in by Aeriv or Arvada Triathlon Company.

The renter agrees to use the case properly and take reasonable precautions to prevent loss, theft, misuse, or damage.

The renter may be financially responsible for:

  • Loss or theft of the rental case

  • Damage beyond normal travel wear

  • Missing straps, padding, hardware, wheels, axles, tools, or other included components

  • Damage caused by improper use

  • Failure to return the case

  • Repair or replacement costs when a case is returned unusable

Aeriv reserves the right to charge the renter for reasonable repair or replacement costs when applicable.

5. Airline & Transportation Damage

Airline baggage handling and other transportation services are outside the control of Aeriv and Arvada Triathlon Company.

Aeriv does not guarantee that a bike case will prevent all damage to a bicycle or its components during transportation.

The renter is responsible for reviewing the baggage policies of their airline, transportation provider, event organizer, or other carrier.

Aeriv and Arvada Triathlon Company are not responsible for loss or damage caused by airlines, baggage handlers, shipping companies, transportation providers, TSA or other security agencies, or other third parties, except where liability cannot legally be excluded.

Customers are strongly encouraged to inspect their bicycle and case immediately after receiving them from an airline or transportation provider and report transportation-related damage directly to the carrier.

6. Packing Your Own Bike

Unless the Round Trip Service Option or another bike-packing service has been purchased, the renter is responsible for properly packing and unpacking their bicycle.

Improper packing can result in significant bicycle damage.

Aeriv strongly recommends professional packing for customers who are unfamiliar with disassembling, protecting, and transporting their bicycle.

7. Round Trip Service Option

Customers who select the Round Trip Service Option may have their bicycle professionally packed into the rental case before travel and rebuilt after returning from their trip.

Customers must bring the bicycle to Arvada Triathlon Company with enough time before departure for the service to be completed.

After the trip, the bicycle and rental case must be returned to Arvada Triathlon Company for unpacking and reassembly.

The Round Trip Service Option covers normal disassembly, packing, unpacking, and reassembly required for travel.

Additional labor or parts required because of damage, unusual equipment configurations, maintenance needs, or modifications may result in additional charges.

Professional packing reduces the risk of damage but cannot guarantee that a bicycle will not be damaged during transportation.

8. Bicycle Condition

Aeriv is not responsible for pre-existing bicycle damage, mechanical problems, worn components, damaged carbon fiber, loose components, or other conditions that existed before the rental or packing service.

Customers should disclose any known bicycle damage or mechanical concerns before packing.

Aeriv may decline to pack a bicycle if staff determines that its condition makes transportation unsafe or unreasonable.

9. Accessories & Personal Items

Customers are responsible for removing valuables and unnecessary personal items from the bicycle and case.

Aeriv is not responsible for personal items left inside a rental case.

Customers should verify airline rules regarding tools, CO₂ cartridges, electronic devices, batteries, sealants, lubricants, and other cycling equipment before traveling.

10. Lost or Delayed Baggage

Airline delays, missed flights, lost luggage, transportation disruptions, weather events, and other travel-related issues do not automatically extend the rental period.

Customers should contact Aeriv as soon as possible if a case cannot be returned by the scheduled date.

Extensions will be handled based on availability and the circumstances involved.

11. Cancellation & Reservation Changes

Rental cancellations and reservation changes are subject to the cancellation policy displayed at the time of booking.

Refund eligibility is based on how far in advance the cancellation is made.

Once the rental period has begun or the case has been picked up, unused rental days are generally non-refundable.

Aeriv may make reasonable exceptions when circumstances warrant, but exceptions are not guaranteed.

12. Early Returns

Returning a bike case before the scheduled return date does not guarantee a refund or credit for unused rental days.

13. Missed Pickup

Customers should contact Aeriv if they will not be able to pick up their rental on the scheduled date.

Failure to pick up a reserved case does not automatically qualify for a refund.

14. Damage or Problems During the Rental

If the rental case is damaged, lost, or becomes unusable during the rental period, the renter should contact Aeriv as soon as reasonably possible.

Customers should not make permanent modifications or repairs to the case without approval unless an emergency repair is necessary to complete travel.

15. Prohibited Use

Rental cases may not be:

  • Sub-rented or loaned to another person for compensation

  • Permanently modified

  • Used to transport prohibited or illegal materials

  • Used in a manner inconsistent with their intended purpose

16. Assumption of Risk

Traveling with a bicycle involves risks including loss, theft, transportation damage, delayed baggage, component damage, and improper handling by third parties.

By renting a bike case, the customer acknowledges these risks and accepts responsibility for decisions related to transportation, airline selection, insurance, and baggage handling.

17. Limitation of Liability

To the extent permitted by applicable law, Aeriv and Arvada Triathlon Company are not responsible for indirect, incidental, consequential, or travel-related losses arising from the use of a rental bike case, including missed races, missed flights, lodging expenses, replacement transportation, race-entry fees, loss of use of a bicycle, or other travel costs.

Nothing in these terms is intended to waive rights or liabilities that cannot legally be waived.

18. Travel Insurance & Bicycle Insurance

Customers are encouraged to consider appropriate bicycle insurance, travel insurance, or other coverage for high-value bicycles and travel-related losses.

A bike-case rental does not include insurance coverage for the customer's bicycle or other personal property.

19. Identification & Payment

Aeriv may require valid identification and a valid form of payment before releasing rental equipment.

The renter authorizes Aeriv to charge amounts legitimately owed under the rental agreement, including approved rental charges and reasonable charges associated with lost, missing, or damaged rental equipment, subject to applicable law and payment-provider requirements.

20. Agreement to Terms

By completing a bike-case rental reservation, the renter confirms that they have reviewed and agreed to these Bike Case Rental Terms & Conditions.

These terms are intended to protect both the renter and Aeriv while providing a straightforward and reliable bike travel rental service.
